Congratulations on your upcoming wedding!

You booked our wedding… now what?

Congratulations! Your date is officially secured. Your next steps are:

– Review your contract and develop your timeline

– Begin booking any outside vendors

When is the final payment due?

Final payment is due 30 days before your wedding date.

When is our final guest count due?

Your final guest count is due 14 days prior to your wedding. This number is what we will plan seating, staffing, and catering around.

How do our guests book their rooms?

Guests can book rooms by:

• Calling 207-998-4351 option 2 and mentioning your wedding.
• Booking online at www.polandspringresort.com (this will give them the best pricing). We recommend guests book early, especially during peak season.

Do you offer room blocks?

We do not offer wedding room blocks, our property is so unique and has so many different options for lodging we have found it best to let your guests pick which option is best for them.

Who is our day-of coordinator?

Our events coordinator Jenn!! She will not only help you every step of the way in planning your day, she is also your day-of coordinator and will take care everything!

– Oversee the timeline

– Coordinate with vendors on-site

– Handle venue logistics

– Set up and breakdown of reception

When can our vendors arrive (flowers, cake, DJ, etc.)?

Vendor arrival times are typically:

– Florist: Any time day of

– Cake delivery: As early as the night before

– DJ/Band: 3 hours before ceremony
– We’ll confirm exact arrival times during your final planning meeting.

Do you coordinate with our vendors before the wedding?

Yes. We’re happy to connect with your vendors ahead of time to review timelines, layouts, and logistics so everyone is on the same page.

When will we have our final planning meeting?

Your final details meeting typically takes place 30 days before your wedding. This is when we confirm:

• Timeline
• Guest count
• Menu
• Layout
• Vendor details

Can we bring in our own vendors?

Yes, outside vendors are welcome. All vendors must be licensed and insured and follow venue guidelines.
